Integrity and trust are fundamental values of De Poort and we therefore set high standards for our own performance in this area. Therefore, we also wholeheartedly support the new EU privacy legislation, the General Data Protection Regulation (GDPR), and are happy to adhere to it. This means that the information that you as a guest make available to us is handled very carefully. For you as our guest, we want the process of registration and our further services to run as smoothly as possible through our website.

In this statement we inform you about that process of data collection, about the fact that we need your permission to collect data and that you are invited to contact us if this statement is not clear or if you want your data to be deleted. This statement is an addition to the Uniform Conditions of Hotel and Catering that we adhere to.

In this privacy statement we indicate what information we need to enable our services. This after receiving your explicit consent. De Poort (we, us) use the website www.depoort.org (Website). This provides information about our policies regarding the collection of personal information and any disclosures. Please review this document carefully before submitting your data via the website, by phone or email.

We only use your personal information in the process of providing our services to you and improving the website to make registration and application process as effective and smooth as possible. When you use the website and/or when you submit your information by phone or email, you consent to the collection of this information and its use as described in this document.

Data Collection and Use.

When you use the website or make a reservation through the planning department or front desk, you may be asked for personal information that may be used to contact you and/or determine who you are. Personal information involves your name and other personal information.

On our course registration page, the following information is collected after you give us permission:

First name, last name, gender, date of birth, address, zip code, city, country, phone number(s), email, company name and dietary info. Guests from abroad may in addition be asked for their credit card information. Only some of this information is required in order to complete a registration and that is indicated with an asterisk. On our contact page, we ask you to leave a first and last name and email address.

We inquire about age to classify courses by age when applicable, and to grant the children's discounts. Dietary Info is required by the kitchen to provide delicious meals for guests with special diets. Credit card information is used only as a deposit for reservations and this information is deleted after course fees are paid.

When a student / participant register using our website, the only information shared with the organizers is the following: name, email, age, and course related info only. If you as a student / participant do not consent to it, we will assume that you register yourself with the organizer of the course or program.

When an organization of a course or conference is handling the registration of guests themselves, we ask them to provide a list of guests that includes their first name, last name, what group they belong to, dietary info and special needs regarding the stay. When overnight guests are involved, we ask for the phone numbers of those staying overnight. This is completely voluntary, but helps us to ensure the safety of the guest as much as possible in case of emergencies. After the stay, lists containing these data are destroyed.

You are welcome to ask us to view and/or delete your data at any time by contacting us at privacy@depoort.org or by phone at +31-24-3971204. An exception to this is the invoice for your stay, which we must keep for 7 years as required by the tax authorities.

Data Log

Like many other websites, our website collects data that your browser sends when you visit our website. This is called log data.

This log data may include information such as your computers IP address, browser type, browser version, the pages of our website you visit, the time and date of your visit, and the time you spent on the website. This is converted into statistical data and is used by our IT company to improve our software and prevent misuse of the website. This log data is not shared with third parties.

Communication

It may be that we ask you if you want to receive a newsletter from us, or information of another nature. You will receive information from us only after you have given your consent. You can also withdraw your consent at any time by unsubscribing via a link provided.

We may also contact you personally regarding any reservations you make in order to best understand your needs and requests.

Cookies

Cookies are small files that make it possible to identify a visitor anonymously. These cookies are stored on your computer after they are sent to your browser.

Like many other websites, we use cookies to collect information. You can set your browser to refuse cookies. However, if you do not accept cookies, portions of the website may not be usable, particularly the registration form.

Camera Images

De Poort uses cameras to enhance guest and building security. These camera images are stored and kept for a maximum of 3 weeks. In case requested by the police, camera images are shared.

Security and protection

We take the protection of your data very seriously, but please keep in mind that there is no 100% secure method of data transmission over the Internet, or electronic data storage. We strive for the best tools of data protection, but unfortunately cannot guarantee absolute security. We use the latest SSL protection, which is the standard in this field.

Changes

This statement is effective as of 24-05-2018 and minor changes may be applied and implemented when regulations change or the type of service we provide requires different ways of data collection. The date of the most recent change will be listed at the top so that it is always clear whether you have the most recent version.

We reserve the right to amend this statement and our policies from time to time, and we therefore recommend that you check regularly to see whether any changes have been made. We consider the use of our website as your agreement to the changes in this document.

Major changes of significance will be communicated to you by email or by means of a prominent notice on our website.
