Cancellation Policy
De Poort plans far ahead in the interest of its guests. For example, many courses involve a 4-year program. For these programs and courses, De Poort reserves its conference rooms and hotel rooms in advance so that the guest can count on his/her stay. The reason that cancellation fees must be charged is that when cancellation is made at short notice, usually no alternative events and thus hotel rooms can be booked. Cancellation fees partially compensate for missed revenue. We try to keep these as low as possible and when we can book an alternative group or person, we let the cancellation fee go.
Cancellation fees are generally covered by travel insurance or specific cancellation insurance. We therefore recommend to take out cancellation insurance, if you do not want to bear the risk yourself.
In case a reservation is made for a hotel room only:
Costs in case of cancellation:
More than 1 month before arrival 0% of the reservation value.
More than 14 days 15% of the booking value
More than 7 days 35% of the reservation value
More than 24 hours 85% of the Reservation Value
Less than 24 hours 100% of the Reservation Value (in accordance with Uniform Conditions for the Hotel and Catering Industry)
When a reservation is made for a course then the following applies:
If you cancel more than 1 month prior to the intended event, you owe 35% of the reservation value,
more than 14 days 50%,
more than 7 days 85%.
within 7 days 100%.

If a reservation is made for a group accommodation, then in case of Cancellation:
More than 3 months prior to the date on which, under the terms of the relevant Catering Agreement, the first Catering Service should be provided, the Customer is not obliged to make any payment to the Catering Establishment.
More than 2 months 15% of the Reservation Value
More than 1 month 35% of the Reservation Value.
More than 14 days 60% of the Reservation Value.
More than 7 days 85% of the reservation value.
If cancelled 7 days or less 100% of the reservation value.

To minimize the concerns of cancellation fees (for organizations),we also apply the system of “in option until another guest shows up”.
